Administrative Assistant/Finance
Reports to: Controller
Summary of Duties: Provide comprehensive administrative support to the Controller, including financial tasks and personnel administration. Coordinate special projects.
ESSENTIAL DUTIES, RESPONSIBILITIES, FUNCTIONS:
FINANCE
* Conduct all Accounts Payable data entry and file maintenance.
* Enter cash receipts into Accounts Receivable; process upload of credit card receipts.
* Enter payrolls and appropriate data for singers, instrumentalists, stagehands, and administrative staff.
* Prepare and submit monthly union dues and benefit reports.
* Prepare monthly journal entries and balance sheet account reconciliations.
HUMAN RESOURCES
* Maintain LAMC personnel files and records.
* Administer benefits for administrative staff.
* Manage process to publicize available administrative positions and communicate with candidates.
* Oversee integration of new administrative employees.
* Handle all California Employment Development Department requests, unemployment claims, and benefit audits.
* Maintain Employee Handbook.
EQUIPMENT/INFORMATION TECHNOLOGY
* Manage office information technology, computer support, backup of electronic files
* Develop and monitor budget for office software and hardware
* Maintain office equipment and related service contracts
OFFICE ADMINISTRATION
* Negotiate and maintain contracts with vendors.
* Maintain all insurance policies and serve as LAMC liaison with brokers and insurance companies.
* Ensure organization is adequately covered for all risks, monitoring, reviewing and renewing insurance policies.
* Maintain Office Procedures Manual
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE AND KEY SKILLS:
* Minimum three to five years successful administrative experience, preferably in not-for-profit organization
* Significant experience with a non-profit accounting software package (knowledge of CYMA a distinct advantage)
* Meticulous attention to detail
* Proficiency in financial and human resources administration
* Proven ability to exercise discretion and handle confidential information
* Proven ability to work independently, take initiative, anticipate challenges, solve problems, and work under pressure
* Excellent communication skills
