Job Function:
The Department Assistant for the Digital Media Program reports to the Assistant Chair, providing support to the Digital Media Program staff, faculty and students as required.
This position is responsible for assisting with maintaining and updating the Department budget and other financial documents. The Program Assistant will also back-up the Office Manager and provide general office assistant. This is a part-time position of 16 to 18 hours per week. The primary hours for this position will be during the period Monday through Friday from 9:00 am to 6:00 pm with the majority of the hours on Thursday and Friday.
Responsibilities:
· Maintain Department Budget, including student worker payroll, expense reports, purchase orders, model vouchers and related documents.
· Update the internal department budget spreadsheets and reconcile with monthly reports from the Finance Office. Work with the Department Budget officers in the Finance Office to make any necessary adjustments.
· Track purchase orders and ensures timely delivery of orders.
· Research products and services needed by the department.
· Assist with general office work in cooperation with Office Manager.
· Provides additional support for Program as needed.
· Help prepare for and work department events, particularly the Senior Exhibition in May.
· Other duties as assigned.
Qualifications:
Five years experience in office procedures, preferably in an academic setting. BA/BFA is required. Must have strong organizational skills, understanding of databases, spreadsheets, file management, research skills, attention to detail, ability to multitask in a busy and sometimes noisy environment, and excellent interpersonal and communications skills.
Computer proficiency a must: database management, spreadsheet, and Internet. Fluency in Excel, Word, Outlook and Filemaker Pro. Knowledge of SCT Banner, Photoshop and InDesign preferred. A foreign language, particularly Korean, is a plus.
