Outfest—Office Manager/Membership Coordinator

Outfest is seeking qualified applicants for a general staff position. This
position is responsible for coordinating membership related activities for
the organizations approximate 1,000 general and major donor members and
office management, consisting of general administrative, bookkeeping and
budgeting duties, as well as general clerical and reception duties. Evening
and weekend work will be involved from time to time.

Status: Full-time

Reports to: Director of Individual Giving & Sr. Director of Internal Affairs

*Essential Duties & Responsibilities:***

Membership Management

-Manage contributor database in Filemaker Pro and Patron Manager including
records of all asks and contributions.

-Administer all memberships including payment processing, payment tracking
and database entry.

-Collect delinquent membership payments

-Oversee acknowledgement of all gifts and fulfillment of membership
benefits.

-Assist with member and major donor direct mail, email and phone banking
campaigns.

-Generate reports as needed for staff and Board of Directors.

-Manage correspondence including mass emails and printed materials for
members in conjunction with the Communications Coordinator and the Director
of Individual Giving

-Assist with event RSVP tracking, set up, volunteer management, check-in
and other membership related activities at members screenings and events

-Update relevant content for organizational website and all social
networking sites

-Participate and/or coordinate attendance at ticketed fundraising events.

Office Management

-Serve as key point person to troubleshoot all office equipment, computers,
servers and phone systems

-Maintain office records and filing systems, ensure system is up to date.
Ensure effective archiving of files and records

-Maintain and replenish inventory, check office stock to determine
inventory levels, anticipate needed supplies and verify receipt of supply

-Manage office calendar and maintain keen knowledge for all staff schedules

-Assist with clerical and secretarial functions as requested

- Control and route correspondences via phone, mail, email

*Qualifications:*

-Previous experience working as part of a development or membership
department

-Strong knowledge of Filmmaker Pro (or related database program), MS Office
Suite applications and all Social Media sites. Mac proficiency preferred.
WordPress and Photoshop a plus.

-Excellent organizational and project management skills,

-Excellent written and oral communication skills

-Self-starter with an ability to work with supervision

-Ability to relate, establish and cultivate respectful relationships with
people from diverse backgrounds

-Capable of taking direction from more than one supervision

-Superlative interpersonal skills—must be able to cultivate strategic and
collaborative relationships internally and externally

-Able to organize and coordinate multiple tasks under daily deadlines

-A commitment to Outfest’s mission and an understanding of its five
programs and their role in the broader LGBT community.
