MOCA Retail Operations Coordinator

Overview
This position coordinates the functions of the Retail Operations
Department; provides support to the MOCA Store Manager and Director of
Retail Operations; performs daily operating procedures and
troubleshooting on store computer; produces weekly, end-of-month, and
inventory reports.

Requirements

* Possession of effective interpersonal skills for working
effectively with vendors, manufacturers, and company representatives
* Excellent verbal and written communication skills
* Strong organizational skills and the ability to manage multiple
projects simultaneously
* Must be detail-oriented, self-motivated, and flexible
* Strong administrative and recordkeeping skills
* Proficiency with Counterpoint Point of Sale (POS) software or
similar program
* Proficiency in Microsoft Word, Excel, Outlook, Access, and Adobe
Photoshop
* Ability to work some evenings and weekends
* Possession of a bachelor's degree in art history, art
education, studio art, or related field preferred

Essential Functions

* Assist Director of Retail Operations with merchandise planning and
purchasing, vendor negotiations, monthly sales and inventory reports,
weekly invoicing and weekly reordering
* Investigate product ideas; seek out and research vendors and
appropriate product lines
* Coordinate with the Logistics Associate to oversee purchase
requests and orders, receiving/transfers, shipping, adjustments, and
damages
* Coordinate the addition of new items with the store's website
and the inventory status of existing online offerings
* Work actively with Communications Department to coordinate content
for social media outreach
* Serve as MOCA liaison to the Museum Store Association
* Manage annual inventory physical counts for all four locations
(Grand Avenue, Geffen, PDC, and warehouse)
* Coordinate the development and design for new and reissued MOCA
products and supplies
* Work actively with Finance Department and outside auditors on
annual financial audit
* Process paperwork for wholesale sales and maintain wholesale
customer and product files
* Manage the delivery and internal distribution of MOCA catalogues in
concert with Curatorial staff
* Serve as administrator for POS program Counterpoint and related
hardware
* Keep store staff apprised regarding sales, merchandise, buying,
wholesale, shipping, receiving, and daily operations
* Coordinate the delivery of deposits, donations, and change orders
for Geffen and PDC locations
* Assist with special event or emergency coverage for Sales
Associates in all MOCA Stores
* Assist Store Manager in training new Sales Associates
* Coordinate operations for Retail department, including but not
limited to editing and reviewing timesheets, drafting correspondence,
maintaining staff calendar, and coordinating meetings
