JOB: Studio Manager for Art Conservation Studio (Los Angeles)

Sculpture Conservation Studio seeks a full-time Studio Manager to
oversee the daily administrative, financial, and registrarial
operations of the studio. We are a full service art conservation and
historic preservation facility dedicated to the care of sculptural art
objects, artifacts, and historic architecture. As Studio Manager, you
will be the first point of contact for our clients and run the
day-to-day operations of the business. In a week, you may run payroll,
invoice clients, order certificates of insurance, schedule maintenance
appointments, book the delivery of a lift to an on-site job, renew
maintenance contracts, and make hotel reservations for an out of town
job. To succeed in this role, you’ll need to love variety and work
independently while staying organized. This is not a conservation
position, but you will be able to learn if you are interested.

Duties:
Administration: Correspond with clients and vendors. Schedule and
confirm appointments for assessments and treatments. Draft, review,
and track client contracts. Make sure insurance coverage meets client
requirements, including requesting certificates of insurance. Make
travel arrangements for out of town projects. Order office and studio
supplies. Prepare holiday cards and client gifts. Answer phone and
check email, phone messages, and mail daily.

Bookkeeping: Accounts receivable – write invoices and monitor open
invoices, including collections. Make bank deposits and document
payments. Accounts payable – pay invoices and monitor cash flow.
Prepare payroll using Paychex every two weeks. Track mileage
reimbursements, supply reimbursements, paid time off, and health
insurance payments. Prepare financial status reports every two weeks.
Reconcile bank account and two credit cards monthly. Track petty cash.
Taxes – provide CPA with federal and state tax information, provide
Paychex W2 and 1099 information. Prepare business taxes for 6 - 7
cities. Track employee W4s and contractor 1099 documents. Monitor
overhead costs. Track job costs for large projects.

Registrar: Track and edit treatment proposal and reports. Remind
conservators/technicians about pending condition reports, treatment
proposals, treatment reports, and photos. Send final treatment reports
and digital photos to clients. Organize pick-ups, delivery, and
shipping arrangements for clients.

Qualifications:
Be able to prioritize your day and anticipate studio needs.
Have a pleasant professional manner on the phone and in email.
Experience bookkeeping for a small business for a minimum of two
years, ideally using Quickbooks.
Have a car to make bank deposits and run errands.
Have an appreciation for art and art history.
