The Music Center is also on the forefront of arts education in Los Angeles, providing arts resources to students and teachers in schools and community centers throughout the region. Approximately 500 full-time, seasonal and part-time staff members are employees of The Center and contribute to its operation and success. The Music Center was developed as an unprecedented public-private partnership with Los Angeles County. Through the support of the Board of Supervisors, the County of Los Angeles plays an invaluable role in the successful operation of The Music Center. This relationship has cemented the importance of the arts to the cultural fabric of Los Angeles.
Reporting to the Director, Scheduling and Events , the Associate Director will be responsible for all aspects of relationships with prospective clients or partners seeking to rent theatre or outdoor spaces beginning with initial event inquiry through event close-out, directing and assigning event staff in the coordinating and advancement of events; working closely with Director to develop, plan and implement departmental strategic goals; and assisting Director with the overall day-to-day management of the department’s operations.

DUTIES INCLIDE, BUT ARE NOT LIMITED TO:
Will manage and direct the booking of rentals and partnership events for The Music Center which includes four theatres and outdoor performance spaces, including the short-term license agreement process for theatre and outdoor rentals or partnerships, including booking outside leases using Artifax scheduling system; leading meetings and walk-throughs of performance and event spaces; drafting and issuing short-term license agreements.

Will prepare or review contractual provisions, financial estimates, and technical specifications and any accompanying correspondence; communicating approvals or denials to clients including to negotiate terms and conditions as necessary; obtaining appropriate authorizing signatures, deposits, and insurance certificates; organizing and authorizing box office services; maintaining current industry standards for contracts; disseminating event information internally and coordinating operations support; performing concert and event duty; preparing and finalizing financial settlements; including will ensure the adherence of Music Center policies, procedures and requirements of terms of long-term lease agreements with Resident Companies.

Oversee staff in the preparation of marketing packages for summer lease events and performs final proofreading and approval of lease event marketing materials; will also oversee scheduling staff in the preparation of the daily campus schedule which is distributed to respective constituents, including final proofreading of schedule.

Assist Director with the supervision duties including overseeing Scheduling & Events staff to include monitoring of job performance, attendance, time off requests and participating in the preparation of annual performance reviews; may conduct work performance counseling.

Will work closely with Director to organize day-to-day department operations including but not limited to overall assignment of work load and ensuring high level of service and productivity in advancing events; plans and implements long-term strategic goals; manages department in Director’s absence or as assigned.

Special projects and other duties as assigned.

REQUIRED SKILLLS AND QUALIFICATIONS INCLUDE:
Bachelor’s Degree (B.A.) from four-year college or university; or equivalent combination of education and experience.

5 to 7 years of theatre booking and/or management-related experience plus 3 to 5 years of experience with contract drafting and financial settlements for events preferred. Basic knowledge of collective bargaining agreements or experience working in union houses a plus.

2 to 3 years of supervisory experience a must.

Strong communication skills, verbal and written, required; excellent proofreading skills; must be a patient and effective listener; a strong team player; must communicate effectively with all levels of personnel; practices common sense.

Must be able to think through complex requests and use logic and reason to develop and propose solutions; extremely organized and detail-oriented with strong follow-through skills; must be able to manage and complete multiple tasks on varying projects with tight deadlines; works well under pressure and in a fast-paced environment.

Excellent customer service, telephone and public speaking skills required; must be able to communicate detailed information, in writing and by voice, clearly, succinctly, and accurately.

Excellent interpersonal and diplomacy skills; ability to influence others; strong emotional intelligence to relate well to people inside and outside the organization.

Must be highly dependable and committed to working a flexible work schedule, including evenings, weekends and holidays and including the ability to work varied schedules.

Skilled in computer use; Word, Excel, and Outlook required; Artifax and PowerPoint experience preferred.

Physical requirement includes ability to stand or stay on feet for extended periods of time of one or more hours; ability to outside exposed to weather conditions.

SALARY RANGE: $55,000 TO $65,000 commensurate with experience.
