Hours: This is a contractual position and is likely to require 20 hours per week from February 1 to April 15, 2009 and 40 hours per week from April 15 to May 15, 2011.

Founded in 1970, Visual Communications (VC) is the nation's oldest media arts center dedicated to the honest and accurate portrayals of Asian Pacific American peoples, communities and heritage through the media arts. SUMMARY

Visual Communications seeks a Conference Producer to oversee the overall production of the Conference for Creative Content. This 2-day media arts conference will focus on new media technologies and online platforms as it pertains to the creation and distribution of Asian American media. As the lead for all production details pertaining to the conference, this individual will work directly with the Executive Director to oversee day to day management of the programming, marketing and logistical functions.

The Conference for Creative Content is a program of Visual Communications and hopes to be the premiere gathering within the field of Asian American media content producers in Los Angeles. We plan to showcase prominent figures from entertainment, academic, media and technology sectors to convene for a series of discussions, panels and work sessions focused on accelerating and innovating the distribution of Asian American content. The purpose of the Conference is to forge essential partnerships in a collaborative pursuit of learning, leverage, accessibility, and visibility of work by Asian Americans. The event hopes to convene more than 250 content creators, producers and filmmakers from across Southern California and featuring a range of interactive events and a high-profile keynote address with celebrity hosts.

This ideal candidate will have direct experience managing and producing a multi-day conference, have knowledge of the APA media arts sector, and will have strong leadership capabilities while reflecting the distinct values of Visual Communications and the Asian American media community of Los Angeles. In addition to the main conference, this individual will assist in the operations of the Los Angeles Asian Pacific Film Festival and act as a Program Team member prior to the conference.

PRIMARY RESPONSIBILITIES

1. Work with Executive Director and Program team to develop program and outcomes.
2. Develop and manage budgets including facilitation of payments, tracking, and reporting.
3. Coordinate internal meetings with program planning committee.
4. Manage conference outreach, including sending out e-blasts, identifying listservs, outreach to nonprofit organizations, colleges, and other networks, and managing outreach through Facebook, Twitter, etc.
5. Manage community sponsorships, including securing nonprofit organizations as co-sponsors, ensuring cross promotion, and encouraging their attendance.
6. Handle all conference logistics, including all registration, travel, and logistics for guest speakers.
7. Coordinate production of conference program book, and collect photos and bios for speakers.
8. Recruit, train, and coordinate conference volunteers.
9. Coordinate and/or produce conference signage and posters.
10. Secure photographer for event, and manage photographer at the conference.
11. Coordinate all logistical prep work the week of the conference, including printing registration reports, nametags, agendas, and arranging gift bags.
12. On-site logistics coordination, including set up and clean up on day of conference.
13. Coordinate with speakers and event venue on logistics and A/V needs.
14. Develop a post-conference survey for participants and speakers.
15. Manage conference follow up, including summarizing conference evaluations, participating in staff debrief session after the conference, and drafting conference summary report to be used in planning next year's conference.

QUALIFICATIONS

§ Previous experience in conference planning and event management, a must.

§ Familiarity with Asian American media and the APA filmmaking community desired.

§ Understanding of technological tools and data systems for managing information.

§ Experience managing budgets and reporting results.

§ Knowledge of social networking tools and applications.

§ Ability to supervise, initiate and lead appropriate volunteer and intern meetings.

§ Ability to structure own time, set goals and carry out projects independently.

§ The desire and proven ability to work in an intense, results-oriented environment.

§ Must have the ability to multi-task.

§ Excellent oral and written communication skills; good collaborator, planner, organizer.

§ Strong interpersonal skills for dealing and working with a wide variety of people.

§ Ability to contribute to a supportive organizational culture (team-work, humor, flexibility, energy).
